Coachfinder currently operates in South Africa only. We intend to expand to other countries in future. Where we do,
this Policy will be updated to reflect any additional data protection obligations that apply, and users will be notified
of any material changes before they take effect.
We may collect personal information such as your name, ID or passport number, date of birth, email address, phone number, address, coach qualification and certification details, payment information, booking and session history, and other relevant details when you voluntarily provide them to us while using our website or services.
For KYC Verification, this also includes images of your ID document, live photos of your face taken during the check (including short head-turn photos), and a face comparison result. A face comparison is a measurement of your facial features used only to compare your live photos with the photo on your ID. This is biometric information, and we collect it only with your consent, given on the verification page before you submit. Depending on the route used, this information is captured and processed either by our identity verification partner, Didit, or by Coachfinder itself (see Section 4).
We use the information collected to provide and improve our services, verify coach qualifications, facilitate
bookings and payments, personalize your experience, communicate with you, and send updates about our products
and services. We do not sell your personal information.
Coachfinder uses a two-part verification process.
KYC Verification is an automated or assisted identity check that confirms you are a real, live person and that the ID you provide is yours. It is done in one of two ways:
Through Didit. Our identity verification partner, Didit, verifies your ID document and captures a live selfie and liveness check. Didit processes this information on Coachfinder's behalf under its own security and data-protection safeguards. When you use this route, Coachfinder does not itself store your ID document image, selfie, or biometric data, only the outcome of the check (verified or declined, and the date).
Through Coachfinder's own selfie ID check. If you cannot use Didit, or Didit is not available, you complete our own check on the Coachfinder website: you scan your ID with your camera, then take a few live photos of your face, including turning your head left and right. Software on Coachfinder's own servers compares the face on your ID with your live photos, and checks that the photos are of the same live person. The software result is only a guide. A member of the Coachfinder team reviews every check and makes the decision. Your pictures are kept in private storage that is not accessible from the public website and are seen only by authorised Coachfinder staff. They are not sent to any other third party.
Professional Verification is described below: Coachfinder Admin currently verifies coach qualifications through a manual process: this involves our own team reviewing the certificates and documents a Coach submits, and directly contacting the issuing institution to confirm the certificate's legitimacy. This means your qualification details may be disclosed to that issuer solely to confirm authenticity. No other personal information is shared with issuers beyond what is necessary for this purpose.
If a Coach is unable to complete KYC Verification automatically, Coachfinder may instead verify identity documents by hand, applying the same standard of care described in Section 5 to any documents submitted this way. This applies to all Coaches, including those in countries the Platform expands to in future, until an automated process is introduced for Professional Verification as well.
We do not sell or share your personal information with third parties for marketing purposes. We do share limited information with: our identity verification partner (Didit), only when you use the Didit route, to complete KYC Verification as described in Section 4; our payment processor (Peach), to process transactions; certificate-issuing institutions, solely to confirm coach qualifications as described in Section 4; other coaches or clients, limited to what is necessary to facilitate a booking; and service providers who support our operations, under confidentiality obligations. We may also disclose information where required by law.
We take the security of your personal information seriously. We implement reasonable technical and organisational
measures to protect against unauthorised access, disclosure, alteration, or destruction of your information.
We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, or as required by law. Verification documents are retained for the duration of a Coach's active registration and for a reasonable period afterward for compliance purposes.
The pictures taken for Coachfinder's own selfie ID check (your ID photo and your live face photos) are deleted automatically 30 days after you submit them. We keep the record of the check, which is the outcome, the date, the reviewer's decision and the ID or passport number you entered, for as long as your account is registered and for a reasonable period afterward for compliance purposes.
Under POPIA, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion subject to our legal retention obligations, object to certain processing, withdraw your consent to the processing of your biometric information (which may mean you cannot complete identity verification), and lodge a complaint with the Information Regulator of South Africa. Where a Coach invites an athlete under 18 to a Group Training Event, we contact and communicate with that athlete's parent or legal guardian directly — including sending the invitation, processing acceptance, and collecting payment — rather than the minor athlete.
